FAQ: Owner Portal

What is VRPAccess?

The Owners Associaton is implementing a new parking system called VRPAccess to improve parking management and the guest experience.

VRPAccess offers an online owner portal allowing you to manage parking passes for your visitors and guests. Once reserved, the system will email your guests directly with a link to register and pay for their parking passes online in advance of their arrival.  You can also choose to pay for them.

Registered parking passes will be available for your guests to pick up at the Service Desk when they arrive onsite.  If your property does not use printed parking passes, the vehicle license plate serves as the digital parking permit.


Do I need to get a new parking pass?

Some properties already have owner parking passes you will continue to use.  If your property allows you to manage your vehicle registration online, you will see a "My Vehicles" tab in your owner portal allowing you to manage your digital permits online, as needed.


I do not see my unit in the unit dropdown list, what do I do?

In order to reserve a parking pass, you must authorize it by selecting a unit in the dropdown.  If your unit list or account information is not accurate, you can reach out to the email address listed under your unit list to request an unit update.


How do I reserve parking for my visitors?

In order to reserve a parking spot for your visitor, first login to your owner portal with your login credentials.  There are (2) types of parking passes you can create:
  1. “Overnight” Parking Pass:  Create this type pass for a visitor that will be staying with you overnight.  The pass can be for a single or multiple nights and the cost is $XX per stay (varies by building).
  2.  “Day” Parking Pass:  Create this type of pass for a visitor that will be staying for a few hours during the day.  The day pass is only valid between the hours of 8AM - 8PM (varies by building). 


What is an overnight parking pass?

Any visitor that stays overnight will need to purchase an overnight parking pass in advance of arrival.
  1. Overnight passes can be created in the Owner's Portal and emailed to your visitor in advance for them to register their vehicle information. 
  2. An overnight pass is $XX per stay (varies by building). This cost can be paid by the owner or visitor.
  3. You cannot exceed the number of parking passes at any one time allowed to you by Owner Association rules for your unit.
  4. During low capacity, your visitors can purchase additional overnight passes if available.


How do I create an overnight parking pass?

In order to reserve an overnight pass for your visitor:
  1. Log into the owner's portal
  2. Click “Create” in the “Overnight Pass” block
  3. Fill our the required visitor contact information for the pass
  4. Select a date range for the parking pass by choosing an arrival and departure date
  5. Choose a unit in the dropdown list of units
  6. Add contact information for your visitor including a phone number and email address
  7. If you do not know the vehicle information, leave it blank and your visitor can add those details when they register online
  8. You can choose to pay for the parking pass or allow your visitor to pay by toggling the “I will pay for the pass” option to ON 
  9. Click the “Create” button when complete
  10. A “registration” email will be sent to your visitor to complete the vehicle registration online in advance of their arrival


What is a day parking pass?

If you have a visitor parking during the day, they are eligible for a free day parking pass.
  1. Day passes are valid from 8AM - 8PM (varies by building)
  2. Each unit you own is eligible for a limited number of day passes per time period when capacities allow.
  3. Per time period means you could have two day passes for 8AM - 8PM  or multiple during the day for smaller time periods as long as they do not overlap times.
  4. Your guest will need to provide their vehicle information to register their parking pass.
  5. During peak seasons, day passes may not be available in the owners portal.


How do I create a day parking pass?

In order to reserve a day pass for your visitor:
  1. Log into the owner's portal
  2. Click “Create” in the “Day Pass” block.  (if available)
  3. Fill out the required visitor information for the pass
  4. Select a single day and time range
  5. You can only book a day pass up to (2) weeks into the future
  6. Enter your visitor contact information including a phone number and email address
  7. Choose a unit in the dropdown list of units
  8. If you do not know the vehicle information, leave it blank and your visitor can add those details when they register
  9. Click the “Create” button when complete
  10. A “registration” email will be sent to your visitor to complete the registration online in advance of their arrival


Do I have the option of paying for the parking pass on behalf of my visitor?

Yes, you will have the option to pay for the parking pass.



I have a vendor coming to my unit for a few hours, do they need a parking pass?

Yes, vendors do need to register their vehicles for parking.  If your building has a service desk, they can register at the service desk when they arrive.  If not, they can scan the QR code on the parking sign in the lot and self register for the day.  


How many parking passes can I purchase for my guests or visitors?

Each unit you own is allocated a certain number of parking passes at one time, based on rules set by the Owner's Association.
  1. Your owner pass does count against this allotment.
  2. If you are staying in your unit and your vehicle is on site, it counts against the max number of passes available for visitor parking passes at any one time.


If I have a property management company that rents out my unit for me, do they handle the parking passes for guests?

Yes, your rental management company will be required to submit reservations into VRPAccess which will email your guests allowing them to register and pay for parking passes online prior to arrival.



I am a private owner and do not rent out my condo, do I still need parking passes for my visitors?

Yes, your visitor will need to register their vehicles to park at the building. You can reserve a parking pass for your visitor in the owner portal.  They will receive an email to register online in advance of arrival.



Can I cancel a parking reservation after I create it?

Yes, once you create a visitor pass you can come back and edit or cancel the parking reservation.
  1. Login to your owner portal account
  2. Locate the parking reservation in the list.
  3. Click Manage > Edit to edit the pass.
  4. Click Manage > Cancel to cancel the pass.
  5. If you cancel the parking pass before the stay duration begins and a payment was made, the funds will be auto-refunded back the source of payment.


My guest cannot find their parking reservation email, can I send it to them again?

Yes, once you create a visitor pass you can come back and edit or cancel the parking reservation.
  1. Yes, locate the parking reservation you created in the dashboard.
  2. Click Manage > Email to send the registration email to the email address you entered for the pass.
  3. Once they receive the email they will be able to click a link and register and pay for their parking pass online.


How do I create an icon shortcut on my iPhone home screen for quick access?

You might find it alot quicker to access your owner portal page if you create a bookmark on your smartphone.  Once you do this, you can simply touch the icon to launch your owner portal.  You will only need to log in the first time.  

How to Add a Web App to Your Home Screen on iPhone
  1. Open Safari on your iPhone or iPad.
  2. Navigate to the website you wish to create an icon.
  3. Tap the Action button (often called the Share button) at the bottom of the screen (small square button with arrow).
  4. Scroll down the share sheet past the rows of contacts and apps, then select Add to Home Screen.
  5. Give the web app a name, then tap Add.

How do I create an icon shortcut on my Android home screen for quick access?

You might find it alot quicker to access your owner portal page if you create a bookmark on your smartphone.  Once you do this, you can simply touch the icon to launch your owner portal like an app.  You will only need to log in the first time.  Follow the steps below for your web browser of choice.

Chrome:
  1. Open the webpage portal link in Chrome
  2. Tap the three-dot icon in the upper-right.
  3. Find and select “Add to Home screen” from the menu.
  4. You can change the shortcut’s name in the pop-up that appears, then tap “Add.”
  5. Select “Add to home screen” to add the icon to the next open spot, or tap and hold the icon then drag it to your desired location on the home screen.
Firefox
  1. Open the website portal link you want to make a shortcut for..
  2. Tap the three dot icon in the lower right.
  3. Scroll down and tap “Add to Home screen.”
  4. Tap “Add” then either hold and drag the icon to your home screen, or select “add to home screen” to place it automatically.
Edge:
  1. Open Edge then go to your web portal link.
  2. Tap the “...” icon in the center of the navigation bar.
  3. Scroll down and tap “Add to Phone.”
  4. Tap “Add” then select “Add to home screen” to add the icon, or hold and drag to place it manually.
